Donnaroo’s Totality – Terms & Conditions

Effective Date: January 13, 2026

Please read these Terms & Conditions carefully before booking or participating in any Donnaroo’s Totality program. By booking, you agree to the terms outlined below.


1. Program Scope & Itinerary

Donnaroo’s Totality provides curated travel experiences, including eclipse viewing, wellness, and cultural programs (“Programs”).

  • Program itineraries, activities, and accommodations are subject to change due to weather, local conditions, transportation issues, or other unforeseen circumstances.

  • Donnaroo’s Totality reserves the right to modify the schedule, substitute activities, or adjust services to ensure participant safety and program continuity.

  • Safe solar viewing equipment (e.g., ISO-certified eclipse glasses) may be provided, but participants use them at their own risk. Donnaroo’s Totality is not responsible for any eye injury or solar retinopathy resulting from improper viewing techniques or the misuse of equipment.

Eclipse Viewing Disclaimer: Viewing the total solar eclipse is inherently weather-dependent. Donnaroo’s Totality makes every effort to select optimal viewing locations based on historical data and expert advice, but we cannot guarantee clear skies, successful viewing of totality, or unobstructed conditions on eclipse day (August 12, 2026). Weather may prevent or partially obscure the event, and no refunds or credits will be provided for weather-related viewing issues. The company reserves the right to make itinerary adjustments, including relocating the viewing site if feasible, to maximize safety and potential viewing success. The remainder of the Program will proceed as scheduled.


2. Booking & Payment

A deposit is required to secure a booking; the remaining balance must be paid by the specified deadline.

  • Deposits are fully refundable for cancellations made on or before May 1, 2026. After this date, deposits are non-refundable unless otherwise stated.

  • Prices are based on current rates and may change if currency fluctuations, taxes, or supplier costs increase prior to full payment.


3. Cancellation & Refund Policy

Cancellations must be submitted in writing (email acceptable). Refunds are calculated based on the date we receive written notice:

  • On or before May 1, 2026: Full refund of all amounts paid (minus any non-refundable admin/processing fees, if applicable).

  • May 2, 2026 to June 10, 2026: Refund of amounts paid minus 50% penalty (or retention of full deposit + 25% of balance, whichever is greater).

  • After June 10, 2026 (60 days or less prior to departure): No refund; 100% of the tour price is forfeited.

  • These dates align with our non-recoverable commitments to the DMC, and other suppliers, which often impose penalties starting ~60 days out. No exceptions (including medical, weather, or personal reasons) unless covered by your travel insurance.  Donnaroo’s Totality will make a good-faith effort to recover funds from vendors, but cannot guarantee a refund of funds already committed to third parties.

  • Donnaroo’s Totality reserves the right to cancel for insufficient enrollment, safety concerns, or force majeure. In such cases, participants receive a full refund of amounts paid, minus any non-recoverable costs incurred by the company (e.g., deposits already paid to vendors).  

  • Participants are strongly encouraged to purchase comprehensive travel insurance (including "Cancel For Any Reason" coverage) to protect against personal cancellations.


4. Travel & Accommodation

  • Donnaroo’s Totality arranges accommodations, local transportation, and selected activities through third-party suppliers (“Vendors”).

  • While all efforts are made to select reliable vendors, Donnaroo’s Totality is not liable for delays, damages, or loss caused by vendors or other service providers.

  • Participants must comply with local laws, regulations, and customs.


5. Health, Safety & Emergency

Participants are responsible for ensuring they are physically and medically able to participate in the Program.

  • Participants must disclose any pre-existing medical conditions, dietary restrictions, or mobility limitations.

  • Emergency Assistance: Donnaroo’s Totality works with the Destination Management Company (DMC), which agrees to provide timely local emergency support to the Client and program participants in the event of medical emergencies, natural disasters, or other urgent situations during the Program. This support includes, but is not limited to:

    • Assistance in accessing local medical services and facilities

    • Coordination with emergency response services

    • Transportation or logistical support as reasonably required to ensure participant safety

  • Donnaroo’s Totality provides coordination and communication with the DMC in emergencies but cannot guarantee immediate access to medical care.

  • Participants are encouraged to obtain appropriate travel and health insurance covering medical evacuation and emergency treatment.


6. Participant Conduct

  • Participants must respect fellow travelers, staff, and local communities.

  • Donnaroo’s Totality reserves the right to remove participants whose behavior threatens safety, enjoyment, or legal compliance, without refund.


7. Liability & Indemnification

  • Donnaroo’s Totality, its owners, employees, and agents (“Company Parties”) are not liable for personal injury, illness, loss, theft, or damage to property, except where caused by proven negligence of the Company Parties.

  • Participants agree to indemnify and hold harmless the Company Parties from any claims, damages, or expenses arising from their actions during the Program.


8. Travel Documentation

  • Participants are responsible for obtaining valid passports, visas, and other required documentation.

  • Donnaroo’s Totality is not liable for delays, fines, or denial of entry due to incomplete or invalid documentation.


9. Photography & Media

  • Donnaroo’s Totality may photograph or record Program activities for promotional purposes.

  • Participants consent to the use of their likeness in photographs, videos, and other media, unless a written opt-out request is submitted in advance.


10. Governing Law & Dispute Resolution

  • These Terms & Conditions are governed by the laws of the state of New York.

  • Any disputes arising from participation in a Program shall be resolved through good-faith negotiation; if unresolved, disputes may be submitted to mediation or arbitration in Island Park, NY.


11. Insurance

  • Participants are strongly advised to obtain comprehensive travel insurance covering health, accident, evacuation, and other potential emergencies.

  • Donnaroo’s Totality may provide assistance in emergencies but is not responsible for the participant’s insurance coverage or claim process.


12. Force Majeure

  • Neither Donnaroo’s Totality nor the participant shall be liable for any failure or delay in performing obligations under these Terms & Conditions (except for payment obligations already due) to the extent such failure or delay is caused by a Force Majeure Event. A "Force Majeure Event" means any event or circumstance beyond the reasonable control of the affected party, that could not have been foreseen or avoided with reasonable diligence, including but not limited to:

  • Acts of God, natural disasters, severe weather events, or other environmental conditions (including but not limited to events that may impact eclipse viewing or travel safety);

  • War, terrorism, civil unrest, riots, insurrection, or acts of public enemies;

  • Epidemics, pandemics, quarantines, or outbreaks of communicable disease;

  • Government actions, orders, restrictions, embargoes, or travel bans/advisories;

  • Strikes, lockouts, labor disputes, or other industrial actions;

  • Explosions, fires, floods, earthquakes, or other catastrophes;

  • Failure of transportation systems or suppliers beyond reasonable control.

  • The affected party shall:

    • Give prompt written notice to the other party as soon as reasonably practicable after becoming aware of the Force Majeure Event, describing the event and its expected impact;

    • Use reasonable efforts to mitigate the effects and resume performance as soon as possible.

  • If a Force Majeure Event prevents or significantly impairs performance of the Program, either party may terminate the booking by written notice, with participants receiving a refund of amounts paid minus any non-recoverable costs already incurred by Donnaroo’s Totality (e.g., vendor deposits). No other damages or compensation shall be owed. This clause does not excuse participants from their responsibility to obtain travel insurance.


By booking and participating in a Donnaroo’s Totality program, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
